What an email signature actually is
A signature is a block of text — your name, title, contact details, sometimes an image — that gets automatically added to the end of emails you send, so you don’t have to type it every time. It sounds like a small, one-time thing to set up, but it’s trickier than it looks.
That’s because most email apps — a desktop program, a phone’s mail app, and webmail in a browser — each keep their own separate signature setting. Setting it up in one place doesn’t carry over to the others, and formatting that looks right in one can come out different in another.
Where this usually trips people up
- The signature shows up on one device or app, but not on another
- A signature with a logo or specific formatting came out looking wrong
- It applies to new emails but not replies, or the other way around
