A dedicated Email & Communication guide covering Email Sync Issues, from common causes to the resolution.

Not sure this is your exact issue? Every WindowsHelper guide is scoped to one specific problem β€” not a generic troubleshooting checklist β€” so if the title above matches what you're seeing, this is the right guide.

What it means when your mailbox isn't syncing

This is different from mail that won't send or receive at all, and different again from an account rejecting your sign-in β€” here, the mail exists and is already sitting on the server or showing on your phone, but the app on this particular PC hasn't caught up to reflect it. Folders look out of date, unread counts are stale, or messages you can see elsewhere just aren't showing up here yet.

Syncing is the ongoing background job of the app checking the server and mirroring what's there. When that mirroring stalls, the problem is the app's view being behind, not that the mail itself has gone missing or that anything failed to send.

Signs it's sync, not sending or sign-in

How serious is it?

Usually minor

Occasional lag between what's on the server and what the app shows, that eventually catches up, is common and low-risk β€” nothing is actually missing.

Worth taking seriously

Nothing new appearing for a long stretch is worth addressing, especially if you're waiting on time-sensitive mail you'd otherwise assume simply hadn't arrived.

Why restarting the app is a coin flip here

Restarting the mail app can jolt a sync connection back into motion if it simply lost its footing β€” but if the real snag is a particular stuck folder, a setting limiting how far back it looks, or the account's own sync configuration, restarting doesn't touch any of that and the same staleness comes right back.

Working out which part of the sync process is actually stuck for your setup, rather than restarting and hoping, is what WindowsHelper is being built to help with.

Common questions

Is this the same as email not sending or receiving at all?
No β€” that's about messages failing to move at all. This is about mail that already exists elsewhere not yet showing up in this particular app's view.
Could this be a sign-in problem?
Usually not, if the app opens and signs in without any prompt β€” sign-in trouble tends to show its own distinct error rather than just stale-looking folders.
Why does one folder update while another one doesn't?
That's a useful clue β€” it points toward something specific to that folder's sync, rather than the whole account being broken.
Am I missing mail permanently?
Generally no β€” the mail is still held on the server or visible elsewhere; the app on this PC just hasn't caught up to show it yet.
Will manually refreshing fix it for good?
It often pulls in what's missing in the moment, but if the underlying sync keeps stalling, you'll likely find yourself refreshing manually again rather than it staying caught up on its own.
