What happens to cloud files when you’re offline
Cloud storage services often keep files as placeholders on your PC rather than full local copies, to save space — the file appears in your folders and looks normal, but its actual content lives online until you open it, at which point it downloads on the spot. That works seamlessly with an internet connection, but the same file can become unreachable the moment you’re offline, because there was never a real local copy to fall back on.
This is a different situation than a sync error or a file failing to upload — it’s specifically about a file existing as a placeholder that needs a live connection to actually open, and that requirement not being obvious until you’re somewhere without one.
How to tell a file is a placeholder rather than fully downloaded
- A file opens fine with internet access but shows an error, spins, or won’t open at all when offline
- The file’s icon shows a cloud symbol rather than a solid checkmark, if you look closely
- It happens with files you haven’t recently opened, more than ones you use often
- It’s specific to certain files or folders, not every file in your cloud storage
